How places work

Everyone, groups, and Just me are the places in a workspace. Personal and team workspaces work the same way.

Your thinking in Cranes is kept in places. Each place is one draft of thinking, with its own pages and entries, read by a set of people. The places you read are listed under Places in the sidebar.

Place Who reads it
Everyone Everyone on the team. Only in a team workspace.
A group, by its name The people in the group, or the whole team when the group is open to the team.
Just me Only you.

A group marked guest was started in someone else’s personal workspace. You read and add to it like any group you’re in.

Workspaces

A workspace is a set of people and the places they share. Personal and team workspaces work the same way. A personal workspace has only you in it, so it has no Everyone: just Just me and your groups. A team workspace adds Everyone.

You can have one personal workspace and belong to any number of teams, all under one account and one sign-in. If you signed up for a team, you start with the team alone. Choose Start my personal thinking in the workspace menu whenever you want a personal workspace too.

Just me in a team is separate from Just me in your personal workspace. Nothing moves between workspaces on its own: work you do for a team doesn’t reshape your personal thinking, and your personal thinking doesn’t show up at work.

History you bring from other AIs, files, or your own Notion is always yours, so it comes into your personal workspace. From a team, Bring history offers to open or start your personal thinking first.

Where what you bring goes

Anything you add without naming a place goes to Just me: notes, files, what your connected AI saves, what your threads keep, and notes from the share sheet or Siri on iPhone. You share it wider when you choose.

To put something in a group or in Everyone, name the place:

  • In Entries, choose Add and pick the place under Goes to, or filter Entries to that place first.
  • Ask your connected AI to save it “for the team” or for a group by name.
  • Talk in a group’s thread. What it keeps goes to that group.

Every save says where it went, like “Kept in Engineering’s thinking”. Nothing reaches Everyone unless someone named it, shared it, or a team source an owner or admin connected, like Slack, brings it in. To share later, see Share a page and Share a copy of an entry.

Copies go wider, never narrower: something in a group can be shared with Everyone, but nothing is ever copied into anyone’s Just me.

Open a place

Choose a place under Places. It shows its pages by topic, then what was Added, What changed, and what’s Still open there, and its threads when it has any. The icons beside its name open its People, Entries, and Settings. Just me has only Entries.

You don’t need to open a place to see what’s new. Home, Threads, Entries, and Pages in the sidebar cover every place you read, and each item says which place it’s from.

Switch workspaces

  1. At the top left, choose the workspace’s name.
  2. Choose another workspace from the list.

You switch there and land on Home. Each browser tab keeps its own workspace, and a link that names a workspace, like the email saying you were added to a team, opens there.

The same menu has Start a team, Invite people, and the workspace’s settings. In your personal workspace it also has Turn into a team. If your company lets people with your email domain join its team, Join and the team’s name appear there too.

If you leave a team

Your Just me in that team is deleted, because it was drawn from team work and only you could read it. What you shared with Everyone or a group stays, credited to you. Your personal workspace and other teams don’t change. See Leave a team.
