People and roles on a team
Owners, admins, and members, what each person does on the team, and how to remove someone, leave, hand over, or delete a team.
Settings › People lists everyone on the team with their role, and the invitations still waiting. To invite someone, see Invite people.
Roles
| Role | Can |
|---|---|
| Owner | Everything an admin can, plus invite admins, switch people between Member and Admin, hand the team over, and delete it. |
| Admin | Invite and remove members, rename the team, arrange Everyone’s topics and pages, adopt pages as the team’s, connect sources like Slack and Notion, choose whether members may share their own pages, delete groups, and see the team’s Security, Billing, and Activity settings. |
| Member | Read and add to Everyone, keep their own Just me, and start and join groups. |
Whatever their role, everyone’s Just me is theirs alone. Owners and admins can’t read it, or any group they’re not in.
To change someone’s role, the owner picks Member or Admin beside them.
Say what you do on the team
Separately from Owner, Admin, or Member, each person can say what they do, like Engineering lead or Head of Sales. It’s optional.
- Open Everyone, then the People icon.
- Choose Add your role beside your name, or Change if you have one.
- Type it and choose Save. Clear it and save to remove it.
You can also set it under Your role in the team’s name, in Settings › People. Owners and admins can add or change anyone’s.
Your role shows beside your name on People and in the team’s groups. Cranes reads it too, so a call you make in your own area reads as how the team works, credited to you. Outside your area, what you say reads as your view. See Everyone, the team’s thinking.
Sharing your own pages
Sharing your own pages, in Settings › People, says whether people may share pages from their Just me in the team with other people, by link, or publicly in the Library. It’s Not allowed until an owner or admin chooses Allowed.
Setting it back to Not allowed pauses what people already shared: those pages stop opening for anyone else until it’s allowed again. Sharing with Everyone or a group isn’t affected. See Share a page with people, by link, or publicly.
Remove someone
Choose Remove beside them and confirm. The owner can remove anyone else; admins can remove members.
When someone is removed:
- their Just me in the team is deleted,
- they leave the team’s groups, and a group they were alone in is deleted,
- what they shared with Everyone or a group stays, credited to them,
- they can no longer reach the team from connected AIs or Slack.
Leave a team
In Settings › People, under The team, choose Leave the team. It works like being removed: your Just me in the team is deleted, and what you shared stays. To come back, someone has to invite you again. If the team was your only workspace, Cranes starts a personal one so you have somewhere to land.
The owner can’t leave until they hand the team over.
Hand the team over
The owner chooses someone under Hand over the team, then Hand over. They become the owner, and you stay on as an admin.
Rename or delete the team
Owners and admins change the name under Team name and choose Rename.
Only the owner can choose Delete the team, after typing its name. It’s for everyone and can’t be undone: Everyone, each person’s Just me in the team, and its groups are deleted, its sources stop, and everyone leaves it. No one’s personal workspace or other teams change.
